How the Dental Clinic Gained Greater Control and Visibility:

Aider continues to develop its specialized expertise—and has launched an industry initiative focused on dental clinics. At Privattannlegene in Fredrikstad, this has already resulted in a new, more efficient daily routine.

 


“We are now completely up to date at all times. It’s satisfying to have such strong control as we do now,” says Tore Karlsen, Managing Director at Privattannlegene.


The Fredrikstad clinic consists of eight dentists, including three specialists, one dental hygienist, and seven dental assistants. As a comprehensive care clinic, they also assist other dentists through referrals.


 


 


“All of this requires thoroughness in the financial picture. But it can be challenging to maintain oversight in a busy day-to-day environment,” says Karlsen.


 


 
 

 


 


Auditor Shocked


Manager Mats Fjærvik, who leads Aider’s dental clinic initiative, took on the task of streamlining the accounting work for Karlsen and his team. He introduced new routines, workflows, and structure.


“Mats implemented a new system and a different delegation of tasks. The result is a significant increase in both efficiency and control. In addition, he has contributed valuable insight and expertise in our field,” says Karlsen.


The continuous and holistic way of working marked a turning point in the clinic’s administrative operations—and today they can proudly report zero backlog in record keeping. In fact, the improvement was so significant that the auditor was somewhat shocked by the change. The annual accounts, which they had expected to complete after Easter, were finished as early as January.


“One thing is the gain in efficiency, time, control, and oversight, but we are also working more in line with how we want to run our clinic. By delegating tasks to the support staff, we create a more engaging and inclusive workday for all employees,” Karlsen explains.

Significant Savings


According to the clinic manager, it all comes down to quality at every level. For him, every part of the operation is inseparably connected—from personnel and technical equipment to IT and finance.


“To deliver quality to our patients, we must also have quality in our production processes. No part of the operation is less important, which is why we only enter agreements with partners who can deliver high-quality solutions. This is essential for operations, and ultimately, for the patient,” says Karlsen, who does not hesitate to recommend Aider to other clinics seeking a serious and competent partner:

On top of this, there are many developments in patient record systems right now, and we are far ahead in terms of familiarity,” says Fjærvik, concluding:


 


“Our goal is for dental clinics to spend as little time as possible on administration and as much time as possible with their patients. There are significant savings out there just waiting to be realized.”
