The Parish Council Has Never Spent Less Time on Accounting

Simple scanning of vouchers, zero paper documents, and a much-improved workflow—everyday operations have changed for the Drammen Church Parish Council since they adopted the ERP system Xledger. “We spend less time on accounting than ever before,” says Hans Jørgen Paulsen, CFO of the council.


Initially, the ability to scan vouchers was the most important criterion when Paulsen and his colleagues were searching for a new accounting system. However, choosing from the many available providers was not straightforward.


“Fortunately for us, the Church Council had issued a tender to find a shared financial system for the churches. Since this was a pre-negotiated agreement, it was easy for us to join,” explains Paulsen.

Accessible Anywhere

With strong support from the tender winner, Aider, it didn’t take long before the parish council was fully operational on the new shared system. They no longer needed an internal mail runner traveling between the 10 parish councils to collect vouchers.


“Here in Drammen, all councils are now on the same shared solution. This has saved us a lot of time and certainly several tons of paper,” says Paulsen.


But their new system, Xledger, can of course do much more than scan incoming and outgoing transactions. Through the framework agreement with the Church, Aider has refined and optimized the Xledger solution specifically for parish councils, and today reconciliation, invoicing, and year-end closing are faster than ever.


“It’s even easier when it comes to audits. All we need to do is assign the auditor a role in the system. Additionally, it’s a stable system that responds quickly and is accessible wherever you are.”

A Sense of Security


After two years, the Drammen parish council discovered yet another advantage of having a partner like the competence hub Aider.


“Until 2019, we handled payroll in-house, but it wasn’t ideal that only one person had sufficient expertise to manage such a central task. It was too vulnerable. That’s why we chose to purchase our payroll services from Aider, and it has worked very well,” he says, adding: “Moreover, it’s reassuring to know they are there if anything comes up.”

For the most part, however, they are self-sufficient—so much so that when Aider called during the pandemic to check in, Paulsen’s response was reassuring: “Of course.”


“We use Xledger, so we can work from anywhere.”
